Frequently Asked Questions

Everything you need to know about run.events — from pricing and migration to support and ticketing strategy.

General

What is run.events?

run.events is AI-native event management software for B2B conferences, congresses, associations and expos. One platform covers registration and audience management, abstract and agenda management, exhibitor and booth management, check-in and badging, event marketing, an events CRM, a white-labeled mobile app, AI matchmaking, and online and hybrid events. It is developed and operated in the EU by run.events GmbH (Germany) and run.events OÜ (Estonia).

Who uses run.events?

run.events is used by organisers of B2B conferences and conventions, associations, corporate events, and expos and trade fairs, as well as by event agencies and PCOs who run events for their clients. Customers include BIE France, Düsseldorf Congress, and LeatCon.

Does run.events include a mobile event app?

Yes. run.events includes a white-labeled, AI-powered event app branded to your event, with the personalised agenda, networking, AI matchmaking and attendee messaging. Organisers who run several events a year can use a multi-event organizer app that holds all of their events in one branded app.

Does run.events have AI matchmaking?

Yes. AI matchmaking recommends relevant people, sessions and exhibitors to each attendee based on their profile and interests, and helps them book meetings before and during the event. At ECS 2026, attendees booked an average of 4.2 meetings each, with 78% of attendees scheduling at least one meeting.

Pricing & Cost

How much does run.events cost?

run.events is sold as an annual subscription based on your event volume, with no per-ticket fees. Plans start at €4,300 per year for up to 500 attendees. Enterprise organisers running multiple events per year are our typical customers — book a call for a quote tailored to your event volume. Professional services and Premium or Ultimate support are priced separately.

How does run.events pricing work compared to per-ticket models?

Unlike traditional ticketing platforms that charge per-ticket fees (typically 1–3 € per ticket plus a percentage of sales), run.events offers transparent, predictable annual subscription pricing based on your event volume. This eliminates unexpected costs and becomes more cost-effective as your events scale.

Will we really save money if we have multiple specialised needs?

Yes. run.events replaces numerous point solutions in a single subscription. Based on a comparison of equivalent point solutions, event organisers running two events of 1,000 attendees each can save up to €14,320 per year — a reduction of up to 67% — compared to their previous combined tool subscriptions. See our full cost comparison page for a detailed breakdown.

Does replacing multiple tools with one platform mean compromising on functionality?

No. run.events is built by analysing the best features across specialised tools and incorporating them into one platform. Many clients report that the unified solution provides more powerful capabilities than their previous multi-tool approach, especially in data integration and analytics.

Does run.events have an API?

Yes. run.events provides an API for syncing attendees, registrations, sessions and other event data with your own systems. Our integration team can set up and maintain connections to your existing tech stack on your behalf.

Support

What support tiers does run.events offer?

run.events offers three support tiers: Standard (business-hours support, 9am–6pm CET, Monday–Friday), Premium (priority response and a dedicated account manager), and Ultimate (extended hours plus emergency weekend support for active events). All customers receive priority handling for critical issues during live events, regardless of tier.

How do I know which support tier is right for me?

Standard works well for smaller events with a dedicated in-house tech team. Premium is ideal for growing events that need regular guidance. Ultimate is designed for mission-critical or large-scale events where real-time support during the event itself is essential.

Can I change or cancel my support tier?

Yes. Premium and Ultimate Customer Care can be booked and cancelled on a monthly basis, giving you full flexibility to adjust as your event calendar changes.

How is a dedicated account manager assigned?

Premium and Ultimate customers are matched with an account manager based on industry expertise, event type, and timezone compatibility. That person becomes familiar with your setup and is your direct contact for all platform matters.

Switching & Migration

How does run.events compare to Cvent?

Cvent is one of the largest event management platforms globally, with broad enterprise adoption and strong venue sourcing and RFP tooling. run.events differs in three key areas: all data is EU-hosted (Cvent is US-based), pricing is a single annual subscription rather than per-module enterprise licensing, and abstract and agenda management for congresses and professional conferences is built-in rather than add-on. Teams typically switch when US data residency becomes a compliance issue, when costs grow unpredictably with scale, or when they need tighter abstract and speaker workflow tools. Migration typically takes 2–4 weeks.

How does run.events compare to RainFocus?

RainFocus is strong in large-scale enterprise technology events, with deep Salesforce integration and rich marketing analytics. run.events differs in: full EU hosting and GDPR-native data handling, broader abstract and speaker management for academic and professional conferences, and more flexible pricing suited to event agencies, associations, and multi-event portfolios. Teams typically switch when they need EU data residency, stronger abstract management, or a more cost-effective subscription for organisations running several events per year. Migration typically takes 2–4 weeks.

How long does the typical migration process take?

Most organisations are fully migrated within 2–4 weeks. The exact timeline depends on event volume, data complexity, and integration requirements. A migration specialist provides a customised timeline during the initial consultation.

Can we migrate in the middle of an active event campaign?

Yes. Our parallel operation approach lets you continue selling tickets and managing registrations without interruption. We synchronise data between systems until you are ready for the final cutover, ensuring zero disruption to ongoing operations.

What happens to our historical event data?

All historical data can be transferred to run.events. Comprehensive data mapping ensures that past event records, attendee data, and analytics remain accessible for future reporting.

How do you handle custom fields and integrations during migration?

Our migration specialists map all custom fields before transfer. For integrations, we provide documentation and support for connecting run.events to your existing tech stack — including CRM, marketing automation, and business intelligence tools.

What support is available during and after migration?

You are assigned a dedicated Migration Specialist for the entire migration journey. You also have access to our technical support team, comprehensive documentation, and training resources. Post-launch, a Customer Success Manager ensures ongoing optimisation.

Community & Non-Profits

Does run.events offer discounts for non-profit or community organisations?

Yes. Discounts range from 20% to 100% of standard pricing depending on the organisation's size, budget, and event scope. Many smaller community organisations qualify for completely free access.

What documentation is needed to qualify for a community discount?

For registered non-profits, we request proof of tax-exempt status. For informal community groups, a brief description of the organisation's mission and planned event impact is sufficient.

Is there a limit to the number of events under a community plan?

No arbitrary limit. Your package is tailored to your actual needs, whether that is one annual event or multiple gatherings throughout the year.

Do community partners get access to all features?

Yes. Community partners receive the complete run.events platform with all the same features available to commercial clients. The only difference is the pricing.

Ticketing Strategy

What ticket type ratio maximises revenue for B2B conferences?

Based on run.events platform data, the best-performing ratio is approximately 55% general admission, 25% mid-tier, 12% premium, and 8% strategic allocation. For professional training events the ratio shifts to 40% GA, 35% mid-tier, 15% premium, and 10% strategic. The key is maintaining proportional relationships between tiers, not fixating on absolute percentages.

What should the price differential be between ticket tiers?

The differential between your lowest and middle tier should be 2.3–2.7× to create sufficient value contrast. The differential between middle and premium should be 1.8–2.2× to signal exclusivity while remaining attainable. This architecture creates clear value separation and motivates upgrades.

What metrics signal that a pricing strategy needs adjusting mid-campaign?

Watch four indicators: (1) conversion rate drops below 2.5% on marketing traffic, (2) tier distribution deviates more than 15% from projected ratios, (3) social sharing rates decline more than 20% week-over-week, or (4) cart abandonment exceeds 65%. When at least two trigger simultaneously, act within 24–48 hours.

How should digital access be priced for hybrid events?

A reliable starting formula: (physical ticket price × 0.35) + direct digital delivery costs + platform fees. On top of this, create digital-exclusive benefits valued at 15–20% of the ticket price so that online attendance is positioned as a distinct experience — not just a cheaper version of in-person.
